Office 365 for IT Pros May 2026 Update

Office 365 evoluciona de forma constante y por este motivo, nuestro libro evoluciona de forma constante e incorpora los detalles de las nuevas características liberadas por Microsoft.

As part of the native integration of AI across Microsoft 365—and particularly within SharePoint and OneDrive—Microsoft is rolling out native support for Markdown files. This native support is delivered through an enhancement of the Microsoft 365 universal file viewer, which, in the case of Markdown files:

• Allows not only viewing these files, but also editing them.
• By default, the viewer displays both the Markdown source code and its rendered output side by side (split view).

• We can switch to edit mode or formatted (rendered) view at any time

• The editor toolbar in the viewer allows us to apply formatting to new content as we add it, without needing to know Markdown—although it’s also a great opportunity to learn or reinforce our Markdown skills along the way.

Como parte de la integración nativa de la IA en Microsoft 365 en general y particularmente en SharePoint y OneDrive, Microsoft está liberando el soporte nativo de archivos de markdown. Este soporte nativo viene de la mano de una extensión del visor universal de archivos de Microsoft 365 que para el caso de archivos de markdown:

• Permite no solo visualizar este tipo de archivos, sino también editarlos. Por defecto la visualización muestra el código de markdown y como se vería el archivo formateado (Visualización dividida).

• Podemos pasar al modo edición o al modo visualización formateada en cualquier momento.

• La barra de edición del visor permite que apliquemos formato a los nuevos contenidos que vayamos añadiendo sin tener que saber markdown aunque es también una buena oportunidad para aprender/reforzar nuestros conocimientos de markdown.

Until now, Microsoft 365 Archive only allowed archiving entire SharePoint sites, but Microsoft has just opened the preview of individual file‑level archiving. In this post, we are going to review how it works.

• The first thing we need to do is enable individual file‑level archiving in the tenant, as described in the following article: Manage Microsoft 365 Archive – Microsoft 365 Archive | Microsoft Learn. It is important to note that this granular archiving capability is currently in Preview.
• Once granular archiving is enabled, at the Document Library level we will see that when one or more files are selected, the “Archive” option is displayed.

• When selecting the archive option, an informational message is displayed indicating that archived files can be recovered immediately during the first 7 days. After that period, a 24‑hour delay is required to restore them.

• Archived files are clearly identified in the document library:

• To unarchive, simply use the “Reactivate” option.

Como continuación del post sobre creación de bibliotecas de documentos con IA en SharePoint, os dejo el video correspondiente.

Hasta ahora Microsoft 365 Archive solo permitía archivar Sitios de SharePoint completos, pero Microsoft acaba de abrir la preview del archivado a nivel de fichero individual. En este post vamos a revisar como funciona:

• Lo primero que tendremos que hacer es habilitar el archivado a nivel de archivos individuales en el tenant tal y como se describe en el siguiente artículo: Manage Microsoft 365 Archive – Microsoft 365 Archive | Microsoft Learn. A tener en cuenta que este archivado granular está por el momento en Preview.
• Una vez está habilitado el archivado granular, a nivel de Biblioteca de Documentos veremos que cuando seleccionamos uno o varios archivos se muestra la opción de “Archive”.

• Al darle a la opción de archivar, se mostrará un mensaje informativo que nos indica que podemos recuperar de forma inmediata los archivos archivados durante los 7 primeros días. Transcurrido ese período se requieren 24 horas para recuperar.

• Los archivos “archivados” se identifican de forma clara en la Biblioteca:

• Para desarchivar simplemente haremos uso de la opción “Reactivate”

The SharePoint Content Administration Agent, as its name suggests, makes it easier to perform certain SharePoint tenant and site administration tasks directly from the Microsoft 365 Copilot chat. It is important to note that this agent is currently quite limited in terms of what it can do when compared to the tenant-level Administration Agent (the well-known administration skills). For example, as a starting point, we can ask it to show us the most recently created sites within a specific time period:

As a result, all sites created according to the specified criteria will be displayed. For each site, detailed information will be provided:

¿What else can we ask it to do? Well, things such as:

• A recap of relevant tenant information.
• How to perform administrative tasks.

In summary, the agent essentially does the same things that we could originally do with Copilot to administer SharePoint Online in the pre-skills era.

En esta ocasión os dejo un video sobre la generación de documentos estructurados con IA en SharePoint. A partir de un documento plantilla, podemos generar un formulario que luego permita crear de forma automática documentos usando la plantilla y la información recogida en el formulario.

Within the set of Microsoft 365 Copilot agents specialized in interacting with SharePoint, we have the List Agent, which allows us to create lists in SharePoint sites based on natural language requests. Like any agent, it comes with a set of predefined prompts, or alternatively, we can write our own prompts from scratch:

Next, the agent starts working and presents a draft list, explaining the proposed set of columns for the list and, depending on the prompt, additional information such as an initial draft of the list content:

We can iterate with the agent to further refine the list specification and, once everything is OK, request that it be created. Before creating it, the agent will prompt us to specify the SharePoint site where the list should be created:

If everything goes well, we will see this result:

Office 365 evoluciona de forma constante y por este motivo, nuestro libro evoluciona de forma constante e incorpora los detalles de las nuevas características liberadas por Microsoft.

Siguiendo con la serie de artículos sobre la nueva experiencia de usuario para SharePoint, os dejo el video correspondiente en el que la revisamos en detalle.

Dentro del juego de Agentes de Microsoft 365 Copilots que están especializados en interactuar con SharePoint tenemos el Agente de listas que permite crear listas en sitios de SharePoint en base a peticiones en lenguaje natural. Como todo Agente, tenemos una serie de Prompts preparados o bien podemos escribir los nuestros desde cero:

A continuación, el Agente comienza a trabajar y nos presenta un draft de lista en el que nos explica la propuesta de columnas para la lista y dependiendo del prompt información adicional como por ejemplo un draft de contenidos:

Podemos iterar con el Agente para refinar más la especificación de la lista y una vez esté todo OK, solicitar que nos la cree. Antes de crearla nos pedirá el Sitio de SharePoint donde se tiene que crear:

Since the celebration of SharePoint’s 25th anniversary at the beginning of March, we have been seeing the gradual rollout of new capabilities that make intensive use of AI. The latest addition is AI-powered Document Library creation: starting from a simple prompt, we can now create not only a Document Library tailored to a specific use case, but also define metadata that is automatically populated when documents are uploaded:

Initially, the prompt-based creation process will suggest a name and a description for the Document Library, which we can either modify or regenerate:

If we are OK with the results, we can proceed to create the Document Library, which initially will not contain metadata, although metadata will later be proposed by SharePoint AI. The creation process is currently quite lightweight, but it is interesting to see that it follows a task-oriented, step-by-step construction approach:

As I mentioned, the library is created and then SharePoint AI starts the process of suggesting columns based on the purpose of the library:

It will suggest the columns, which we can adapt as needed. If we decide to keep the columns, they will be added to the library:

From this point onward, when we upload new contracts in this case, SharePoint AI will extract the relevant information to automatically populate the metadata for the documents being uploaded.
